Strip away the building, the trucks, and the furniture, and what is actually irreplaceable at most small companies is the data. Years of QuickBooks history. Client records and contracts. Job photos, drawings, and estimates. Email threads that are the only record of what was agreed. Equipment can be bought again on a Tuesday afternoon. Fifteen years of accounting history cannot.
Hard drives fail without warning. Ransomware encrypts everything it can reach and then asks for money. A summer storm takes out power and the server doesn’t come back the same way it went down. And — by a wide margin the most common one — somebody deletes the wrong folder and doesn’t notice for three weeks. Any one of these can erase years of work in minutes.

Storage doesn’t warn you politely. A drive that has been running for four years can fail on a Monday morning and take the shared folder with it. RAID helps with a single disk, but RAID is not a backup — it protects against one hardware failure, not against everything else on this list.

We are in Southwest Florida. Hurricane season, lightning, and grid flicker are part of the operating environment, not rare events. Equipment that is fine on Friday is sometimes not fine on Monday, and a copy of your data sitting in the same room as the server is a copy that shares the same fate.
The most frequent cause of data loss by a long way. Files dragged into the wrong folder, a shared directory cleaned out by someone being helpful, a spreadsheet overwritten with a bad version. What saves you here is not just a backup but retention — enough history to go back to before the mistake.
Break-ins, water damage, a laptop left in a truck. If the only copy of a project lives on one machine, the loss of that machine is the loss of the project. Off-site copies turn a catastrophe into an inconvenience.
The one nobody expects. A backup job fails, or fills up, or starts skipping the folder that matters, and nothing tells anyone. Months later the business discovers its safety net stopped working last spring. Unmonitored backup is a hope, not a system — which is why monitoring is part of the service, not an add-on.
There is a long-standing rule of thumb in this trade, usually written 3-2-1: keep at least three copies of your data, on at least two different kinds of storage, with at least one copy off-site. It has survived decades of changing technology because the logic underneath it doesn’t change — every additional independent copy removes a way for a single event to take everything.
On top of that, a backup you can trust needs four things that are easy to skip. It needs to be monitored, so a failure raises a flag instead of going unnoticed. It needs an off-site or isolated copy that ransomware and weather cannot reach through your local network. It needs enough retention that you can go back past a mistake you didn’t catch immediately. And it needs to be tested — because a backup nobody has ever restored from is not a backup, it is an assumption.
The last point is where most of the real-world failures live. We would rather find out that a restore has a problem on an ordinary afternoon, with your business running normally, than at 6am after a server dies.
This one costs businesses real money, so it is worth being blunt about. Services that sync your files — keeping a folder on your computer matched to a copy in the cloud — are genuinely useful, and they are not backups. Sync is designed to make the cloud copy look exactly like your copy. That is the entire point of it, and it is also the problem: when a file is deleted, corrupted, or encrypted on your machine, sync faithfully applies that same change to the cloud.
The same logic applies to cloud email and cloud document platforms. Having your mail hosted somewhere reliable protects you against that provider’s hardware failing. It does not protect you against an employee deleting a mailbox, an account being compromised, or a retention window quietly expiring. A backup is a separate, independent, point-in-time copy that your day-to-day systems cannot overwrite. The honest answer is another question: how much work can you afford to redo? A business that generates a handful of documents a day is in a different position from one processing transactions continuously. Once we know how much re-entry you could tolerate and how long you could be down, the schedule follows from that rather than from a default setting.
No — those are sync services, and the difference matters. Sync exists to make the cloud copy match your copy, so a deletion or a ransomware encryption on your machine gets copied up as well. They’re useful tools, but they are not an independent point-in-time copy, which is what a backup is.
If there is a clean backup the attack could not reach, recovery is usually a matter of restoring from it. If the only copies were reachable over the network, the options get much narrower and much worse. That asymmetry is the entire argument for isolated off-site copies, and it’s why we build them that way by default.
That’s the reason an off-site copy is standard rather than optional here. A backup stored beside the server shares whatever happens to the server — flooding, power surge, roof damage. Keeping a copy well away from the building is the whole point, and in Southwest Florida it is not a theoretical concern.
